The big AI Tool Check Prices, licences & compliance
A few key figures are enough. The check works out how many licences your team needs,
shows all plan tiers of ChatGPT, Claude, Gemini, Copilot, Perplexity and DeepL as
well as the image tools Midjourney, Adobe Firefly and Canva, and rates every tier with the
compliance traffic light: what is defensible under the Swiss FADP, the GDPR and the EU AI Act — and what is not.
AI assistants: the everyday helper
Text, correspondence, analysis and research. As a rule, everyone who uses them regularly needs a licence of their own.
Translation
For multilingual guest communication: the specialist translates more precisely than the all-rounder.
Image generation & design
Typically only for the marketing team. That is why we calculate with fewer licences here.
⚠︎Labelling obligation from 02.08.2026: AI-generated images that guests get to see
must be recognisable as such (EU AI Act, Art. 50). Plan the labelling in from the start:
with Adobe Firefly the built-in Content Credentials help.
Look closely: this is what often goes wrong today
Four patterns we see in businesses again and again. Each of these situations is easy to fix with the right plan tier and clear rules.
Personal free accounts in the team
Team members answer guest emails in a personal ChatGPT Free account. The inputs (including names
and booking details) can be used for training, and there is no data processing agreement. With personal data, that is simply not defensible.

«The standard plan is enough»
Hardly ever. Only the Business/Team tiers (🟢) come with a data processing agreement, «no training» and central administration.
The extra cost is small compared with the risk and the loss of control that comes with personal subscriptions.

AI images without labelling
From 02.08.2026, the AI-generated campaign image on your website or in your newsletter
has to be labelled if guests get to see it.

Nobody has been trained
Anyone who uses AI in their business has to train the people using it. That has been a legal
obligation since 02.02.2025, not an optional extra. This is exactly where the SMART AI programme comes in.

The tool is chosen. What counts now is using it responsibly
Training, clear rules and protection of guest data. That is exactly what the SMART AI seal of quality stands for.
